Running a small business means juggling countless tasks – from managing customer relationships and overseeing operations to handling finances and marketing.

But with limited time and resources, trying to do everything can lead to burnout and stagnation. The key to sustainable growth lies in prioritising high-impact tasks that move the business forward.

The Trap of ‘Being Busy’ vs. ‘Being Productive’

It’s easy to confuse being busy with being productive. Checking off simple, low-impact tasks – answering routine emails, organising files, or tweaking the website – creates a false sense of progress. While these tasks might feel satisfying in the moment, they rarely make a significant difference to business outcomes. In contrast, impactful tasks are often the ones we avoid. These might include:

  1. Reaching out to potential clients to build your pipeline.
  2. Reviewing your pricing strategy to maximise profitability.
  3. Delegating operational tasks so you can focus on growth.

These activities may be uncomfortable or require more effort, but they yield long-term benefits that drive business success.

Why Prioritising High-Impact Tasks Matters

When you focus on the tasks that truly matter, you:

  1. Achieve Faster Growth – Strategic decisions and meaningful actions accelerate business progress.

Being super-focused is, of course, the aim, but we are all human. If you are feeling jaded, or a little out of sorts because your kids are sick, for example, you will be forgiven for ticking a few of those easy wins off your list – the endorphins of achievement, together with hydration and an early night, may be just what you need to regain your enthusiasm for high-impact, less comfortable tasks tomorrow.

As long as this doesn’t become a habit, and the tasks are enjoyable, they do provide some benefit. For me, this could mean scheduling some posts for LinkedIn or checking my financial results in Xero, to remind me that I have come a long way and that the consistent effort is paying off. The trick is not to let these tasks trick you into believing that you are productive.

How to Identify Your High-Impact Tasks

Small business owners can quickly pinpoint these tasks by asking:
– Will this task move me closer to my business goals?

  • Does it directly impact revenue, customer satisfaction, or operational efficiency?
  • Is it something only I can do, or can it be delegated?

A useful framework is the Eisenhower Matrix, which helps categorise tasks into:

  • Urgent and Important – Do these immediately.
  • Important but Not Urgent – Schedule and prioritise these.
  • Urgent but Not Important – Delegate these where possible.
  • Neither Urgent nor Important – Eliminate or defer these.

Overcoming the Comfort Zone Trap

Most people naturally gravitate toward comfortable, familiar tasks. However, growth happens outside that comfort zone. To stay focused on high-impact actions:

  • Set Clear Priorities – Identify your top 3 business goals and align daily actions with them.
  • Time Block for Deep Work – Dedicate focused time to complex or high-value tasks.
